Event Producer job description

Founded in 2005, Hypebeast is a leading platform for contemporary fashion and culture that highlights curated brands and emerging lifestyles through editorially-driven news and features. Its devotion to discovery has made it one of the premier online destinations for fashion and lifestyle editorial and news. Currently operating in over 15 markets, readers can stay up to date with the latest culturally-relevant news and developments on men’s fashion. 
 
We are looking for a driven, culturally fluent Event Producer to join the Hypebeast team in Shanghai. You will be the operational backbone of our China and regional events — from intimate brand pop-ups and community activations to large-scale experiential campaigns — bridging creative vision and flawless on-the-ground execution.

You will work across Hypebeast IP events and white label client events in Greater China, partnering closely with internal creative, account, finance, and legal teams, as well as an extensive network of local and international production partners, vendors, artists, DJs, and cultural communities. You will bring deep knowledge of the China events landscape and a genuine pulse on streetwear and youth culture.

Responsibilities:

Event Strategy & Concept
  • Partner with creative and account teams to define event goals, objectives, and measurable success metrics from the outset.
  • Contribute original event concepts and ideas that are culturally resonant for the China market, on-brand, and creatively ambitious.
  • Develop and present event proposals, pitch decks, and budget proposals for clients and internal stakeholders.
  • Understand client briefs deeply — translating business objectives into compelling, on-the-ground brand experiences.
    • Production & Vendor Management
  • Support the building and management of a network of production resources — artists, community partners, DJs, talent agencies, AV/tech suppliers, fabricators, set builders, caterers, and more — across China and internationally.
  • Source, vet, negotiate, and manage vendors and partners with a strong taste for quality, cultural fit, and cost efficiency.
  • Coordinate commercial negotiations with third-party suppliers and production partners to secure optimal terms across cost, quality, and timeliness.
  • Coordinate with local production houses, on-site crews, and post-production vendors to ensure seamless execution.
    • Project & Timeline Management
  • Own end-to-end project management across all assigned events, ensuring on-time and within-scope delivery.
  • Build and maintain detailed production timelines, run-of-show documents, and project trackers across concurrent projects.
  • Keep all stakeholders — creative, account, clients, and vendors — consistently aligned and informed throughout the project lifecycle.
  • Proactively identify risks, troubleshoot issues on the fly, and pivot quickly when circumstances change.
    • Site Management
  • Lead on-site event management from build-up through breakdown, ensuring quality, safety, and brand standards are met at every touchpoint.
  • Conduct venue recces, assess suitability, and manage all on-site logistics for Shanghai-based and regional events.
  • Manage supplier deliveries, crew scheduling, and real-time problem resolution on-site.
  • Navigate China-specific permitting, venue licensing, and local authority requirements to ensure full compliance.

    • Requirements:

  • 3+ years of experience in event production, experiential marketing, or a related field within a creative agency, brand, or entertainment environment.
  • Informed — Up to date on fashion, music and the arts, as well as knowledgeable about Hypebeast culture.
  • Good command of Mandarin Chinese and English (written and spoken).
  • Experience managing events end-to-end — on time and on budget — in the China market.
  • Basic familiarity with China’s event permitting process, venue licensing, and local logistics.
  • Collaborative — A strong team player who works openly with internal teams and brings a positive energy to every project.
  • Flexible — Humble and willing to tackle sometimes mundane but essential tasks with overall willingness to learn.
  • Resourceful — The ability to secure talent, locations, and resources quickly. Can pivot and adapt to unforeseen circumstances that often arise. The expertise to foresee when outside resources are necessary.
  • Autonomous — The ability to take direction, but needs a little management and oversight to get the job done.
  • Goal-focused — The drive to complete tasks smoothly and efficiently.
  • Positive/Charismatic — A people-person who knows how to get the best out of their team, while maintaining a great relationship with trusted vendors, creatives, and freelancers. Skilled at managing multiple parties involved with one project and keeping all players happy while maintaining the creative vision.
  • Some existing connections with vendors, production partners, or community resources across Shanghai is a plus but not required.
